Beavers Bend Adventures Cabin Rental Policies

You are responsible for the keeping your cabin tidy during your stay and for leaving the cabin in good condition. Please remember that you are staying in a “privately owned cabin” and treat it as you would want your guests to treat your own home. If accommodations are left damaged or unusually messy (such as unwashed dishes, excessive pet hair, pet urine, or stains on the furniture or carpet), an additional $80 cleaning charge will be processed on your credit card after your departure. Items in the cabin found missing or broken will be charged accordingly.

Note: We don’t wish to be negative, be we deal with many of the following items weekly. A $50 fee will be charged if we must remedy these situations (which are caused by a guest) during your stay. All cabins are inspected just prior to arrivals, and again upon check-out. The following damages, deemed intentional, will be charged to your credit card.

  • Please do not re-arrange the furniture in your cabin as this may result in damages.
  • Please do not touch or move the logs in a gas fireplace.
  • Never burn real logs in a gas log fireplace.
  • Never burn charcoal in a gas grill.
  • Please do not turn off the fireplace pilot lights.
  • Please do not change the settings on refrigerators or hot tubs.
  • If you turn the AC below 65, it will likely freeze up and stop working.
  • If you turn the temp down on the refrigerator, it will freeze up and stop working.
  • Please do not overstock the refrigerator, then call every 2 hours to report the food is not cold. It will take until the next day to make all the food cold – if you leave the door shut. Leave half the drinks out of the refrigerator.

Minimum Stays: A two-night minimum stay is required on all reservations. A three-night minimum stay is required during major holidays and Spring Break weeks. One-night stays are considered on a case-by-case basis only. A $50 – $100 up charge will be added to the rate for all pre-approved one-night stays. All reservations require a deposit of one nights rent on a major credit card at the time of booking.

Minimum Age Requirement: You must be at least 25 years of age to rent a cabin. The name on the reservation must match the name on the accompanying credit, as this is the responsible party.

Payment: A valid credit card (Visa, MasterCard, Discover, American Express) must accompany all reservations. A deposit of one night’s rental, will be processed on all reservations requested, and this amount will be applied towards the total balance. The balance will be processed 2 weeks prior to arrival / 30 days prior to holiday and Spring Break arrivals.

Rates: The nightly rates, listed on the website, are based on the number of people the cabin sleeps comfortably. The absolute maximum number of total persons allowed at each cabin is 2 people over the number the cabin sleeps comfortably – listed on the website – including all children. Our cabins are only equipped to handle this number of people. A $25 per person, per night charge applies for up to 2 extra people. Additional extra people are not allowed to stay in the cabin.

Cleaning Fee: Guests are required to pay one flat rate cleaning fee for their cabin stay. Cleaning fees vary according to the size of the cabin – listed separately when booking.

Pets: Our pet policy varies per cabin. Look for the happy puppy online for our pet-friendly cabins. A non-refundable pet fee $25 per pet, per night will apply on all reservations which include pets. The maximum number of pets allowed per cabin is two. Please do not allow your pets to be on the furniture and crate them when you are away from the cabin. Excessive pet hair or pet urine will result in an $80 cleaning charge. Scratch marks will be repaired and the cost will be processed on your credit card. Failure to comply with a cabin’s “No Pets” policy will result in a charge of $100 per rental night, and you may be asked to leave the cabin without a refund.

Damage Waiver: Guests are required to pay $59.95 with each reservation, which will cover up to $1,000 in accidental damages during their stay. This fee is non-refundable.

Cancellations: All cancellations must be made personally by telephone (not voice mail), then followed up with a cancellation e-mail. You must receive a cancellation confirmation by e-mail in order to consider your reservation cancelled. Upon cancellation, a refund will not be issued. If you cancel before 15 or more days prior to your arrival date / 30 days prior to holiday or Spring Break stays, you will forfeit your deposit of one night’s rental fee. Cancellations within 8 – 14 days prior to your arrival date will also be required to pay for a 1-night stay. Cancellations within 0 – 7 days prior to your arrival date will be charged for the entire stay. Weather conditions or medical emergencies do not constitute an exception to the cancellation policies.

Changes: Each cabin is individually owned. Therefore, a cabin change is considered a cancellation for one owner’s cabin and a new reservation for another owner’s cabin. A $25 change fee will apply when you change your reservation by switching dates or cabins. You are allowed to change your reservation up to 2 times. After that point, you are required to cancel and re-book your reservation. Your paid deposit will transfer to your new reservation. Changes must be completed before 14 days prior to your arrival date / 30 days prior to major holiday & spring break arrivals. Changing cabins or dates cannot be honored within 2 weeks of your arrival date for non-holiday stays – or within 30 days prior to arrival for all holiday and spring break stays.

Smoking: All the cabins are non-smoking cabins. Smokers, please use outside ashtrays. Please do not throw cigarette butts on the ground. If the cabin smells of cigarette smoke after your departure, an additional cleaning fee of $100 per rental night will be charged to your credit card. There are no exceptions to our non-smoking policy. No flicking!

Quiet Hours: Shooting guns, or fireworks, is not allowed on cabin property. Outside loud music is prohibited at all times. Quiet hours begin at 11 PM.

RV Parking & Tent Camping: These activities are not allowed on the cabin properties.
(A pup tent for kids’ play is fine)

ATV Riding: 4-wheelers are not legal to drive on the county roads (around the cabins) or on cabin property. Please trailer to the trails.

Hot Tubs: PLEASE do not allow anyone, including children, to sit or stand on the hot tub cover. It will break. The replacement cost for the hot tub cover is $400. If you break a hot tub cover, it will NOT be covered by the Accidental Damage Waiver. Please supervise children at all times while using the hot tub. Please shower before & after using the hot tub. No bath or bubble products, glitter, etc. are allowed in the hot tub.

Trash: Place trash in the outside barrels with a tightly secured lid. (Forest animals will spread trash all around if they can get to it.) If it does not fit, place additional trash inside the cabin in secured trash bags. Trash pick up is Monday, Wednesday & Friday. The dump is located approximately two miles south of Hochatown, at the Hwy. 259-A Dam Road @ Hwy. 259.

Check-In/Check-Out: Check-in time is any time after 4:00 PM. Check out promptly by 11 am. Please do not leave dirty dishes in your cabin. Remove all food from the refrigerator. Lock all the windows and doors and leave the door key secured inside the lock box with the code scrambled. The cleaners will appreciate it if you start a load of towels in the washing machine.

Damages: Damaged, or missing items, will be billed to your credit card. All cabins are surveyed prior to check-in, and right after check-out.

Lost Items: A $25 handling fee, plus shipping charges, will apply if you request us to package and ship your items left behind. Guns cannot be mailed.

PRIVACY POLICY: We respect and are committed to protecting your privacy. We may collect personally identifiable information when you visit our site. We may send you a special offer on cabin rentals a few times per year. We will not sell your personally identifiable information to anyone.

SECURITY POLICY: Your payment and personal information is always safe. Our Secure Sockets Layer (SSL) software is the industry standard and among the best software available today for secure commerce transaction. It encrypts all of your personal information, including credit card number, name, and address, so that it can not be read over the internet.

LIABILITY: All outdoor activities involve certain inherent risk of injury up to and including death. Every effort will be made to secure and make safe all facilities under our management. It is expressly understood and agreed that neither the owner, nor the management company of said premises, shall be liable for any damages or injury to guest, guest’s guests or their families, or to any of their property from whatever cause arising from the occupancy or use of the premises by guest and their family and guests.
